Privacy notice
This notice explains what personal information the Johannesburg Amateur Radio Club (ZS6TJ) collects through this website, why, who sees it, how long we keep it, and your rights under the Protection of Personal Information Act (POPIA).
Last updated: 12 October 2026.
Who we are
The Johannesburg Amateur Radio Club (ZS6TJ) is the responsible party for the personal information described here. Clubhouse: Cnr 9 Louis St and Lawley Ave, Waterval Estate, Johannesburg 2195. E-mail: admin@zs6tj-club.co.za.
The club’s information officer is the chairman. Write to the address above with any question or request about your information.
What we collect and why
- Joining the club: your first name, surname, e-mail address, cell number, callsign (or that you do not have one yet), the membership type you choose, whether you want to be listed in the members directory, and the date you agreed to this notice. We use it to run your membership: approving you, collecting subs, renewals, members-only access and club notices.
- Payments: online payments are made on PayFast’s own pages. PayFast gives us the result and a reference; we never see or store your card or bank details. For a manual EFT we record your payment reference and that the treasurer confirmed it.
- Forum and swop shop account: your name, callsign and e-mail address, so you can post. What you post (forum messages, swop listings and their photos, project photos and comments) is shown publicly with your name or callsign, except posts on the members-only boards.
- Contacting a seller in the swop shop: your message, name and e-mail address are e-mailed to the seller so they can reply to you. The website does not keep a copy.
- Booking a fleamarket table or the breakfast: your name, e-mail address and how many people. We use it to manage the event and to send you a link to change or cancel.
- Contact form: your name, e-mail address and message are e-mailed to the club. The website does not keep a copy.
- E-mail alerts (forum digest, swop round-up, new projects, event reminders): only the alerts you choose in your account, sent to your e-mail address. You can switch them off at any time.
- Articles and projects you send in: the text, photos and files, with your name or callsign as the author.
We do not use your information for advertising, and we do not sell or rent it to anyone.
Do you have to give it?
No. Giving us your information is voluntary, but without your name, e-mail address and callsign (or “no callsign yet”) we cannot run your membership or your forum and swop shop account. The members directory listing is optional and is off unless you tick it.
Who sees your information
- The committee, the treasurer and the website editors, only as far as they need it for club business (for example, the treasurer sees payments, and editors see bookings for their event).
- Other members see your name and callsign in the members directory only if you chose to be listed.
- PayFast, for online payments.
- Our web host in South Africa, which runs the website and the club’s e-mail.
- Anyone the law requires us to give it to.
Services outside South Africa
Maps on the event and contact pages are shown by Google. When you open one of those pages, your browser connects to Google, which may record your internet address and set its own cookies, and may process that information outside South Africa. The “Add to calendar” links and links to other websites (such as QRZ.com) only send anything when you click them. Apart from this, your information stays with the club and its host in South Africa.
Cookies
The website uses only the cookies it needs to work: one to keep you logged in, and one to remember a table booking you have just made. There are no advertising or tracking cookies.
How long we keep it
- Membership details: while you are a member. If you leave or your membership lapses, we delete your details within a year, except payment records, which the club keeps for five years for its financial records.
- Forum and swop shop accounts: until you ask us to close the account. Sign-ups whose e-mail address was never confirmed are deleted after 14 days.
- Bookings: the names and e-mail addresses are deleted 30 days after the event.
- Swop listings: removed 90 days after they expire.
- Contact form and seller messages: not stored on the website; e-mails to the club are kept only as long as needed to answer them.
How we protect it
The website only works over an encrypted connection (https). Administrator and editor log-ins use two-factor authentication. Members-only files and magazines are handed out only after a membership check. Only the people listed above can see your details.
Your rights
You may ask us what information we hold about you, ask us to correct it or delete it, object to how we use it, or withdraw your consent. Many details can be changed yourself on your account page; for anything else, e-mail admin@zs6tj-club.co.za. If you withdraw your consent we can no longer run your membership or account, but this does not affect anything done before.
Complaints
Please tell us first, so we can put it right. You also have the right to complain to the Information Regulator: Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg 2191; e-mail enquiries@inforegulator.org.za; telephone 010 023 5200; inforegulator.org.za.
